Dear Job Applicant. I have an immediate opening for a licensed, knowledgeable and experienced personal lines strategic customer service, office and sales assistant. For somebody with the appropriate experience and knowledge as a loan processor, and is willing to get an insurance license and learn the skills and knowledge necessary to assist in processing the insurance work I do, I will consider training the right candidate with no insurance background.


As an independent insurance agency, David Shaffer Insurance Services specializes in serving the affluent California homeowner to find the best possible coverage and rates for homes, autos, liability and related Property & Casualty Personal Lines Coverage.

As a licensed real estate salesperson, David Shaffer Insurance Services also assists homeowners who need loans for a new purchase or for a refinance in determining which loan makes the most sense and obtaining it quickly and at competitive rates.

Because David Shaffer Insurance Services represents a number of insurance companies and not just one large company, David Shaffer Mortgage & Insurance Services can provide the affluent homeowner with a diverse selection of affordable insurance plans and products.

David Shaffer Insurance Services has been in business since 1983 and in 1995 expanded its offering to clients to include to home loans. The company has also been involved in the selling and buying of residential real estate but this is a minor portion currently of my business.

David Shaffer Insurance Services has established a reputation as an agency committed to providing prompt, personal and professional service and wants this reputation to continue to grow and be reinforced by anyone working for David Shaffer Mortgage & Insurance Services.

David Shaffer Insurance Services is located at 500 Ygnacio Valley Road, Suite 150, Walnut Creek, CA 94596. The Pleasant Hill BART Station is in walking distance and there is easy access from Highway 680.

General

Retrieve all phone messages and enter into Agency Management System
Return most calls
Prepares daily outgoing mail
Data Entry into Mircrosoft Access Databases
Correspondence
Bookkeeping

Endorsements

Discusses with client policy changes
Requests Changes & Confirms to Client
Checks Endorsements for accuracy
Provides estimates to client for changes

Renewals

Data Entry of Client Renewals into agency management software
Sending Renewal Letters and Providing Follow-up Service on Renewal Letters
Reviewing all renewals for coverage issues, such as coverages inadvertantly left off policy and inclusion of key coverages all policies should have as established by agency


Scanning & Data Entry

Being able to work with computer digital imaging software and scan all incoming mail & other materials, including but not limited to:

New policies
Endorsements
Billing Statements
News Articles
Manuals
Manual Pages
Pictures
Film Negatives
Accounting Matters

Note: Agency utilizes a high-speed scanner to convert all incoming mail and other forms of paper items to digital images and maintains paperless files.

Claims

Taking First Report & Reporting Claim
Provide Claims Counseling
Follow up in 24 hours to make sure client contacted
Follow up afterwards as required
Being and advocate for client

Suspense

Enter items for follow-up, such as for new policies, endorsements, signed applications, checks, etc.
Clearing incoming items
Follow up on all suspense items 30 days old or longer
Checks Suspense Items Daily

Sales Support

Assist agency with preparation of sales proposals which require creating excel spreadsheets and cover letters
Answer questions on how much to add new coverage to existing policy
Answer questions on how much will cost for new policy, home, auto, and personal umbrella
Must know how to use rating software
Completes new business applications and submits to company for issuance
Send binder(s) to client with cover letter on new business
Maintains current knowledge of company underwriting criteria and adheres to these standards
Asks clients for additional business not currently with agency and provides quotes for this business
Asks for Referrals
Identify Cross-Sales Potential
Assists on Sales and Marketing Projects as directed by agency owner

New Business — Personal

Checking new policies for accuracy
Correcting mistakes on new policies
Sending cover letter to client with new policy
Sending in Applications, Money to Carriers, Issuing Binders w/cover letters

Escrow Closings

Preparing Evidences of Insurance & Invoicing in a timely fashion
Arranging for pick-up or delivery of paperwork involved
Is aware of agency binding authority and adheres to it

General Certificates of Insurance

Preparing and transmitting certificates of insurance

Rewrites

Finding markets for rewriting of policies

Computer Skills & Knowledge Necessary

Data Entry into Microsoft Access Databases
Email
Converting files to pdf format
Using Microsoft Excel spreadsheet
Using rating software
Typing 60 wpm
Using internet
Creating Microsoft Word Documents
Willing to learn new Computer Skills
Burning CD’s for agency backups
Able to learn agency digital paper filing software process


Additional Requirements:

Without needing agency owner's help, the ability to think clearly and logically about situations presented by clients so the the appropirate course of action is taken for the client.

With the above in mind, the ability to know when you should double check with agency owner to reconfirm course of action you have recommended is appropirate.

4 Year College Degree Highly Desired, BA or BS

Answers customer questions in detail regarding company services, products, policies and procedures.

Aids and assists customers with questions or problems, as necessary, until satisfied and in such a manner as to promote agency goodwill.

Answers and explains routine to complicated insurance inquires.


Collects, Organizes, Maintains Information

Obtains information and completes routine forms
Establishes, maintains, updates file procedures.
Help create and maintain agency procedures manual
Maintains that agency database is updated with information pertaining to renewals, endorsements, and other policy information

Controls Supply Activities

Assists in maintaining agency has adequate supplies

Fill out necessary forms to order business cards, letterhead, envelopes, etc.

New employees are subject to a probation period

INSURANCE EXPERIENCE REQUIRED

I am looking for someone with a minimum of 2 years experience in Personal Lines at an Independent Insurance Agency, and in particular experience working with affluent homeowner type accounts, plus be familiar with carriers such as Fireman's Fund, Safeco, Allied, Hartford, Kemper and others as respects policy forms and underwriting guidelines. Must have experience in agency personal lines work involving much of the work described above.

LICENSE REQUIREMENTS

Required to have current property/casualty insurance license and not subject to any disciplinary actions by the California Department of Insurance. Real Estate License is not required but would be a plus.

LOCATION/FACILITY: The office is located within a 15 minute walking distance to the Pleasant Hill BART station. The office has a lunch room and outdoor eating area. Freeway access is from Highway 680 from either the N. Main Street or Treat Blvd. exits. Parking is free at the office. There is also right next to the office a great hiking trail.
